Privacy Policy
Effective: October 15, 2026
Orchard (“Orchard,” “we,” “us”) provides Orchard Studio, a website where you create and use a private AI Intelligence through chat, and the related model tools — model assessment, training, deployment, document retrieval, and model APIs (together, the “Services”). This Privacy Policy explains what we collect, how we use it, and the choices you have.
1. Information we collect
- Account information. When you sign in with Google, we receive your name, email address, and profile picture.
- Service content. The content you create through Orchard — your chat messages and conversation history, the instructions you save for an Intelligence, files you upload (such as documents, datasets, and images), and the model records, training data, reports, and model files you keep in Orchard. Inputs sent directly to a deployed model API are processed to return a response; Orchard records usage and request metadata rather than saving those inputs as conversation history. Inputs and results used in Studio chat may be saved in your conversation.
- Meeting notes (Orchard for Meet). If you install the Orchard for Meet Chrome extension and connect it to your Meeting notetaker, the extension reads Google Meet’s live captions in your own browser tab while you are in a call. It sends the caption text, the speaker names Google Meet shows next to each caption, and the meeting title and code to your Orchard account, where they are saved as a transcript with a summary. Captions can include what other participants say and their names. The extension does not read your audio, video, screen share, other tabs, or browsing history. It stores its connection token, your capture settings, and caption lines waiting to be sent in your browser’s extension storage.
- Usage and billing data. Chat usage, saved data, training, and inference usage used to show your usage and cost, and your plan and subscription status and payment references. Payments are handled by Polar; Orchard does not store your card details.
- Technical data. Basic log and device information needed to operate and secure the Services. If you chat before signing in, we keep an anonymous visitor token and a one-way hash of network information to enforce free-trial and abuse limits. The trial counter uses the hash rather than your raw IP address. Infrastructure providers may process network information to handle and secure requests.
- Website visits. We use a random, first-party browser cookie to estimate daily visitors, count page views, and measure Browse Connect clicks across Orchard. It lasts up to 90 days. Visit records contain a daily one-way visitor identifier, page path, time, and the selected intelligence for Connect clicks; they do not contain your email, chat content, URL queries, or raw IP address. We keep these records for up to 90 days. Different browsers or clearing cookies may count as different visitors.
- Browser storage. We use browser storage for sign-in sessions, conversation state, drafts, and preferences. Clearing this storage may sign you out or remove locally saved drafts and preferences.
- Earlier services. If you used Orchard’s former app-backend services (such as file storage, database, login, or email for your apps), remaining data is handled under the retention rules below. These former services no longer accept new service requests.
2. How we use information
- Provide, maintain, and secure the Services.
- Authenticate you and protect your account.
- Measure usage and estimate your cost.
- Provide support and send service-related communications.
- Improve and develop the Services.
Meeting notes are used only to save your meetings, write their summaries, and answer your questions about them in your Meeting notetaker. Orchard’s use of information received from the Orchard for Meet extension adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements: we do not sell it, use it for advertising, or use it to determine creditworthiness, and people at Orchard do not read it except with your permission, for security, or where required by law. You are responsible for following the recording and consent rules that apply to the meetings you capture.
3. How we share information
We use trusted third-party providers to operate Orchard, and they process data on our behalf to provide the Services. This includes AI model providers that process your chat messages and the files you choose to use in a conversation so Orchard can respond, and compute providers that run the training and model hosting you approve. We may disclose information if required by law. We do not sell your personal information.
Files used for document search may be uploaded and indexed by an AI provider and remain there until removed as part of deletion or cleanup. Providers may also retain information under their security, legal, and data-retention policies; processing may occur outside your country. See OpenAI’s data controls for our chat and hosted document-search provider, and Polar’s Privacy Policy for payment data.
Ad measurement
We use Google Ads tags in a cookieless measurement mode to send limited signals when a first investment agreement review is completed. Advertising and analytics storage, advertising user data, and ad personalization remain disabled in the Google tag. Ad-click identifiers are redacted and URL passthrough is disabled. The measurement code does not read or write browser storage. Google receives the completion signal, a random event identifier for duplicate prevention, a public page address, and browser and network information. We do not send agreements, file names, chat text, account identifiers, or email addresses to Google Ads. Enhanced conversions are disabled. These signals can support estimated conversion reporting; they do not identify every visitor's path from an ad to a completed review.
Orchard's own website metrics and sign-in storage described above are separate from this Google Ads measurement. See Google's advertising privacy information.
4. Data retention
Retention depends on the type of data and the service. Conversation history, saved instructions, and model records are retained to provide your account features. You can ask us to delete your data at any time using the contact details below.
Meeting transcripts and summaries stay in your Meeting notetaker until you delete them. Deleting a meeting removes its transcript and search index; deleting the Meeting notetaker removes every saved meeting and disconnects every connected browser. You can also disconnect a browser at any time from Connected devices or from the extension.
When a cancelled Builder subscription reaches the end of its paid period, managed training and model serving stop. Compute saved files and managed deployments become eligible for cleanup after a 30-day grace period. Download any files you need before that period ends. Files remaining from earlier storage services may also be cleaned up after this grace period if they exceed the free storage allowance.
Deletion and cleanup may take time to complete across providers and backups. We may retain billing, transaction, and security records where needed for legal obligations, dispute resolution, or fraud prevention. Cancelling a subscription does not delete all account records.
5. Your rights
Depending on where you live (for example, the EEA, the UK, or California), you may have rights to access, correct, delete, or export your personal data, or to object to certain processing. To exercise these rights, contact us using the details below.
6. Security
We use industry-standard measures to protect your data. No system is perfectly secure, but we work to keep your information safe.
7. Children
Orchard is not directed to children under 13, and we do not knowingly collect their personal information.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we’ll revise the effective date above.
